Billing Saathi (billingsaathi.com) is a GST billing and inventory software product of Diginest Solution ("Diginest", "we", "us"). This policy explains what information we collect when you use our website and software, how we use it, who we share it with, and the choices you have.

By using Billing Saathi, you agree to the practices described in this policy.

2Information We Collect

• Account details: name, business name, email, phone number, address, state, GSTIN and PAN, used to create and run your account.
• Business data you enter: invoices, quotations, purchase bills, products, stock, customer and vendor details, payments, expenses, bank and UPI details, staff accounts, logos and uploaded documents.
• Usage and device data: IP address, browser, device type, pages visited and actions taken in the app, collected through logs and cookies.
• Communications: messages to our support team, conversations with the in-app AI chatbot, and feedback you send us.
• Payment details: if you pay for a plan or use a payment gateway, payments are processed by a third-party provider. we do not store full card or bank credentials.

3How We Use Your Information

• To create and manage your account and deliver features such as GST invoicing, inventory, reports, e-invoice and e-way bill
• To provide support and send service messages, such as alerts, reminders and security notices
• To improve our software, fix problems and prevent fraud or misuse
• To send product updates and offers (you can opt out at any time)
• To comply with legal obligations

4How We Share Information

We do not sell your personal or business data. We share information only in these cases:

• Service providers who work on our behalf, such as cloud hosting, email, SMS and WhatsApp delivery, analytics and payment processing.
• Integrations you choose to use, such as GST and e-invoice portals, GSTIN verification, Tally sync and your own SMTP email account.
• Legal reasons: where required by law, court order or legal process, or to protect our rights, users and software.
• Business transfers, such as a merger or acquisition, where your data would remain protected under this policy.

5Cookies and Analytics

We use cookies and similar technologies to keep you signed in, remember preferences such as theme settings, and understand how visitors use our website through Google Analytics / other tool. You can control cookies in your browser settings, though some features may not work properly without them.

6AI-Powered Features

Billing Saathi includes AI features such as the AI chatbot and automation tools. These features are built and operated by Diginest Solution, and the text, documents and related context you submit are processed within our own systems to answer your request and complete the task. We do not send this data to external AI providers.

Your chatbot conversation history is saved in your account so you can come back to it later, and it follows the retention rules in section 8. We do not use your business data to train or improve our AI models. / We may use anonymized usage data to improve our AI features.

7Third-Party Services and Integrations

Some features rely on external services, including GST and e-invoice portals, payment gateways, email and WhatsApp providers, and accounting tools like Tally. When you enable them, relevant data is shared so the feature can work. Their privacy practices are governed by their own policies, and we encourage you to review them.

8Data Retention and Deletion

We keep your data while your account is active and as long as needed to provide the service, resolve disputes and meet legal requirements. You can ask us to delete your account and personal data by emailing support@billingsaathi.com. After closure, we delete your data within 30 days, except what we must retain for legal, security or dispute-resolution purposes.

Accounts inactive for 12 months may be deleted after we notify you by email.

9Information Security

We use safeguards such as SSL/TLS encryption in transit, access controls, role-based staff permissions, firewalls and regular backups confirm each to protect your data against loss, misuse and unauthorized access.

No system is completely secure, so please keep your password private, assign staff roles carefully, and tell us right away if you suspect unauthorized access.

10Your Rights and Choices

Under applicable Indian law, including the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023, you may request to access, correct or delete your personal data, withdraw consent, or opt out of marketing messages.

Email support@billingsaathi.com and we will respond within 30 days.

11Children's Privacy

Billing Saathi is built for businesses and is not intended for anyone under 18. We do not knowingly collect data from children.

Our website may link to external sites. We are not responsible for their content or privacy practices, so please review their policies before sharing information.

13Changes to This Policy

When we make changes, we will update the "Last updated" date at the top of this page. For significant changes, we will also notify you by email or an in-app notice.
