Track IMEI and serial numbers
For mobiles, electronics and other high-value items, you can track every single piece by its IMEI or serial number — from the purchase to the customer who bought it.
1. Set up the product
- Add or edit the product.
- Under Manage Stock set Type to Serial No.
- Tick Require IMEI / Serial number at billing if a bill must not be saved without the number.
- In Serial No(s). type each IMEI/serial number you already have in stock and press Enter or a comma after each one. Every number becomes a green tag. Click the × on a tag to remove it. You can also paste a comma-separated list.
- Save the product.
2. Receive new pieces on a purchase invoice
When you pick the product on a purchase invoice, a Serial No box appears under the product name. Type each new IMEI/serial number and press Enter; it is added to the product’s list.
3. Sell a piece
When you pick the product on a sale invoice, a Serial No drop-down appears under the product name with the numbers in stock. Choose the one you are selling. A number picked on one row is marked (used on another row) so the same piece can’t be sold twice on the bill.
If the product requires IMEI and a number is missing, Billing Saathi stops you with “IMEI numbers required for mobile products”. See “IMEI numbers required” message.
4. Find a piece later
- Search the sale or purchase invoice list by IMEI — the search box accepts customer, invoice number, mobile, item name or IMEI.
- Use the Select Serial No filter in the invoice search panel and in the Sales and Purchase reports.
- The product’s View panel lists the stored serial numbers.
Tip: In Product & Stock Options you can rename the field (for example to “IMEI No.”) and turn on Strict Mode, which makes you enter a serial number for every quantity. You can also show serial numbers on quotations, proformas, sale orders, delivery challans and service requests.
