How can we help?
Track stock and low-stock alerts
Billing Saathi keeps a live stock count for every product. You don’t need to update it by hand after each sale or purchase.
What changes stock
| Action | Effect on stock |
|---|---|
| Save a sale invoice | Goes down by the quantity sold |
| Edit a sale invoice | Adjusted to the new quantities |
| Convert a quotation, sale order or proforma to an invoice | Goes down (when the invoice is created) |
| Save a purchase invoice | Goes up by the quantity received |
| Delete a purchase invoice / restore it from Trash | Goes down / goes back up |
| Mark a manufacture run as Completed | Raw materials go down, the finished product goes up |
| Credit notes and debit notes | No change (they adjust money only) |
| Quotations, delivery challans, orders, packing lists | No change |
Cancelling or deleting a sale invoice does not add the items back to stock. If the goods have come back to you, correct the stock as shown below.
See your stock
- Products list: show the Current Stock column with the column chooser next to Action.
- While billing: the quantity box shows the available stock under it, in red when it is low.
- Dashboard: the Low Stock card (filter for Negative, Zero or Low stock) and the Inventory card.
- Reports: Stock Report and Product movement report.
Low-stock alerts
Edit a product and set Low Stock Alert (for example 5). When the stock reaches that number it is listed in the Low Stock card so you know what to re-order.
Correct a stock count
After a physical count, edit the product and change Available Qty under Manage Stock, then save.
Selling when stock is zero
By default, items with zero stock are hidden from the sale invoice so you can’t sell what you don’t have. You can change this in Product & Stock Options.
